Who we are
This policy covers treadrep.com, the manager dashboard, and the Tread Rep app, all provided by Tread Rep LLC (“Tread Rep”, “we”, “us”). Questions go to support@treadrep.com.
Tread Rep is sold to businesses. Most of what goes into it is business information a rep records about their own company’s customers. For that information, the company that holds the Tread Rep account decides what is recorded and who can see it, and we handle it on that company’s behalf. For account details, billing, and messages sent to us through the website, we are responsible.
What we collect
Your account
Your name, work email address, your company’s name, and your role (rep, manager or administrator). Passwords are handled by Amazon Cognito, the sign-in service we use; we never see or store your password.
The work you record
Customer accounts, the contacts at those customers (names, phone numbers, email addresses), vehicles and units, tire readings, inspections, reports, scrap inspections, tire tests, calendar events, notes and quotes, and the photos you attach.
Location, when you start an inspection
With your permission, the app records where each fleet inspection is performed: one set of coordinates, their accuracy, and the time. It does not track you in the background or between inspections. You can turn location off in your phone’s settings and still use the app.
Camera and photos
With your permission, the app uses the camera or your photo library to attach pictures to an inspection. It only reads the photos you choose.
Activity assistant, when you use it
After you agree to AI data sharing in the app, the optional activity assistant sends microphone audio while you hold the talk button to ElevenLabs, which transcribes it. Your typed or transcribed request and the account or activity information needed for it go to Amazon Bedrock in US East for AI processing, and the assistant’s spoken questions are generated by Amazon Polly in US East. Neither our voice server nor its logs keep your audio or the words transcribed. You can withdraw AI permission in Settings → Account & security. You review the proposed records before saving. Saved notes and events follow the same storage and access rules as other work records. Conversation text is kept for the open assistant session and is cleared when you close it or restart the app. Voice replies use temporary playback files that the app removes after playback or interruption, with cleanup on the next launch if the app was closed.
Billing
Payments are processed by Stripe. Card numbers go directly to Stripe and never reach our servers. We receive the plan, the billing status and dates, and an identifier for your company’s Stripe account.
Messages you send us
The contact form collects your name, work email, company, and optionally your phone number, team size and message, along with the IP address the form was sent from, which we use to stop spam.
Website visits, if you accept analytics cookies
On the public pages of treadrep.com (not the dashboard, not the sign-in pages, and not the app), and only after you choose Accept in the cookie banner, Google Analytics records the pages you view, the links and buttons you click, whether an inquiry was accepted, your device and browser type, and an approximate location worked out from your IP address. It does not receive your name, your email address, anything you type into a form, or URL query strings and fragments from our custom events.
Technical logs
Our servers keep short-lived request logs (such as the time, the address requested and whether it succeeded) to keep the service running and investigate errors.
What we do not do
- We do not sell personal information, and we do not share it for targeted advertising.
- We do not use advertising trackers. We use Google Analytics on the public website only if you accept it, and never in the dashboard or the app.
- We do not use your company’s records to market to your customers, and we do not show one company’s records to another.
How we use it
- To provide Tread Rep: signing you in, syncing your records between your phone and the cloud, and showing them on the dashboard to the people your company allows.
- To bill for subscriptions and manage the free trial.
- To reply to messages and quote requests.
- To see which parts of the website are useful, from the visits of people who accepted analytics cookies.
- To keep the service secure, fix problems, and meet legal obligations.
Who we share it with
We use a small number of service providers, who may use the information only to provide their service to us:
| Provider | What for |
|---|---|
| Amazon Web Services | Hosting, the database, photo storage, sign-in (Amazon Cognito), email and activity-assistant processing (Amazon Bedrock and Amazon Polly). Data is stored in the United States (US East, Northern Virginia). |
| ElevenLabs | Transcribing activity-assistant voice requests, only for people who agree to AI data sharing. |
| Sentry | Crash and error reports from the app: the error message, where in the code it happened, the app screens and controls used just before it, and the device model and app version. Photos and screenshots are not sent. |
| Stripe | Payment processing and the billing portal. |
| Our email (Google Workspace), which receives contact form messages; and Google Analytics, only for visitors who accept it. |
Inside a company’s account, what each person can see is set by that company’s administrators. We may also disclose information if the law requires it, to protect people’s safety or our rights, or as part of a sale or merger of the business, in which case this policy continues to apply.
The app is distributed through Apple’s App Store. Apple’s handling of your App Store account is covered by Apple’s own privacy policy.
Cookies and browser storage
The fonts and images are served from our own site. treadrep.com sets no cookies of its own. The one optional thing is Google Analytics on the public pages: it sets its cookies (named _ga and _ga_…) only if you choose Accept in the cookie banner. Declining, or ignoring the banner, means Google’s script is never loaded. You can change your answer at any time from Cookie settings at the bottom of any public page; withdrawing removes those cookies.
Otherwise the site uses your browser’s storage only where it is needed:
- Sign-in session (session storage): keeps you signed in to the dashboard. It is deleted when you close the tab.
- Sign-up progress (session storage): keeps your company and name between the steps of signing up, so a reload does not lose them.
- Sidebar preference (local storage): remembers whether you collapsed the dashboard sidebar.
- Cookie choice (local storage): remembers whether you accepted or declined analytics, so the banner does not ask again.
None of these is used for advertising or tracking. When you go to checkout or the billing portal, you are on Stripe’s site, which uses its own cookies under Stripe’s policy.
The app stores your work on your phone so it works without a signal, and syncs it to the cloud when it can.
How long we keep it
- Account and work records: for as long as your company’s account exists. When a trial ends or a subscription is cancelled, records are kept, read-only, so the company can pick up where it left off, until the company asks us to delete them.
- Inspection photos: the cloud copy is deleted automatically 180 days after it is uploaded. Copies on a phone, and in PDF reports that were shared, are separate from the cloud copy.
- Personal account deletion: use Delete account in Settings to remove your login, personal profile and preferences. Company customers, trucks, tires, inspections, reports and other work records remain, including historical document snapshots. Deleting the last personal account closes company access and cancels its subscription without scheduling company records for deletion.
- Removed team members: when an administrator removes someone, their sign-in is deleted. The records they made belong to the company and stay with it.
- Contact form messages: for as long as needed to respond and follow up, or until you ask us to delete them.
- Website analytics: kept by Google Analytics for the retention period set on our property, at most 14 months.
- Server logs: 14 days. Database backups: 7 days, so deleted information can remain in a backup for up to a week.
- Billing records: as long as tax and accounting law requires.
How we protect it
Connections to Tread Rep are encrypted with HTTPS. The database and photo storage are encrypted at rest, photos are private and not publicly reachable, and the dashboard only returns the records a signed-in person’s role and company allow. A small number of Tread Rep staff can see each company’s account, billing and usage details to run and support the service; that access needs two-step sign-in, and every view and change is logged. No system is perfectly secure; if a breach affects your information, we will tell you as the law requires.
Your choices and rights
You can ask us to tell you what personal information we hold about you, give you a copy, correct it, or delete it. Email support@treadrep.com from the address on your account. We will verify the request and reply within 45 days. We will not treat you differently for asking.
If your information is in a company’s Tread Rep account (for example, you are a contact at one of its customers), that company controls it; please ask them first. If you contact us, we will pass the request to them and help them respond.
Depending on where you live, including California, Colorado, Connecticut, Virginia, Utah and other US states, you may have these rights by law, and the right to appeal a decision we make about your request by replying to our answer. Because we do not sell or share personal information for advertising, there is nothing to opt out of.
Tread Rep is operated from, and stores data in, the United States. If you use it from elsewhere, your information is transferred to the United States.
Children
Tread Rep is a business tool and is not intended for anyone under 16. We do not knowingly collect information from children; if you believe we have, email support@treadrep.com and we will delete it.
Changes to this policy
If we change this policy, we will update the date at the top. If a change materially affects how we use information we already hold, we will tell account administrators by email or in the product before it takes effect.
